Cohesion Software

RECORDLINKwriter is a simple to use application that integrates SIMS with Microsoft Word, Outlook and Excel in Microsoft Office 2003 and 2007® formats.
Schools are increasingly using electronic documents in day-to-day administration and communication yet these items often reside on user PCs and in complex folders rather than being managed by the SIMS file plan. Email is rarely stored and is typically left unmanaged on user PCs. RECORDLINKwriter allows SIMS users to quickly and easily save their Microsoft Office documents to SIMS where they become organised, network accessible and part of the school's disaster recovery plan.
How it works
RECORDLINKwriter appears as a simple to use toolbar on Microsoft Outlook, Word and Excel. Users follow a simple wizard to save electronic files to the SIMS Document Management Server and automatically link them to the correct record, be that in the pupil, staff, agent or contact focus. Once saved to SIMS, electronic documents can be accessed over the network according to SIMS user permissions. Information is centralised whilst saving time and reducing paper wastage.
Key features
- Simple functionality - RECORDLINKwriter is straightforward and the user is guided by a logical wizard process to save or open documents to and from SIMS. Much of the interface reflects SIMS so that searching for pupils for example, appears with the same look and feel as the same process in the SIMS pupil focus.
- Save documents to multiple pupil records - Documents can be saved to single or multiple pupil records in SIMS. Users can create bespoke lists of pupils, import user defined groups, search by academic class or year group and more.
- Create database entries on the fly - Database entries such as behaviours, achievements and medical conditions can be created in SIMS using the RECORDLINKwriter wizard, without the need to log in to SIMS. Where multiple pupil records are chosen the user can also create multiple database entries using the ‘apply to all’ feature.
- SIMS permissions apply - RECORDLINKwriter reads user permissions from SIMS. If a user does not have permission in SIMS to save or open a file then this will be replicated with RECORDLINKwriter.
- Easy install and management - RECORDLINKmanager is installed on SIMS server, RECORDLINKwriter is installed on user PCs running SIMS client. RECORDLINKwriter reads SIMS permissions and is therefore virtually fire-up and forget. Annual licenses are inclusive of all updates in the event of changes to SIMS.

Why you need it
Moving documents off user PCs and folder structures to the SIMS Document Management Server means that files become:
- Organised by the SIMS file plan.
- Added to the disaster recovery archive.
- Accessible over the network.
- Protected by SIMS and network permissions.
- Auditable.
- Available for online reporting to parents as required.
- Available in the SIMS record for a single centralised view of pupil profiles.
This gives your school a better organised, cheaper and more secure document system compared with printed media or Outlook clients.
