The SIMS Parent Lite app, our online data collection tool, delivers a streamlined, online system for schools to reach out to parents and provide them with a vastly improved method for capturing, storing and updating their school data.
Schools can quickly and easily embark on a campaign of requesting and processing updates to the parent and student data they hold on file, allowing them to improve both the quantity and quality of their records. And, as the SIMS Parent Lite app is included as part of your annual entitlement fee, it won’t cost your school anything extra.
To help schools get up and running with the SIMS Parent Lite app, we’ve highlighted a few areas to consider and some top tips for use.
1. Consider the options for on-boarding
Whether you’re looking to setup the SIMS Parent Lite app for a single school or in bulk as a SIMS support unit (SSU), we’ve mapped specific user journeys for making the process as simple as possible.
Schools looking to order direct can register to receive access to the SIMS Parent Lite app simply by completing this form. Alternatively, SSUs ordering on behalf of schools can collect the details for all the schools they wish to deliver the SIMS Parent Lite app to via a single spreadsheet.
Once your school has access to the app, our setup wizard will guide you through the process, following a checklist of tasks required.
2. Adding users and administrators
Before going ahead and rolling out the app in your school or schools, it’s worth the time formulating a plan for who will be using the system and how they will access it. Consider who will have overall responsibility for the management of the app from the school’s point of view and any other users who may need administrator access.
To use the data collection tool, schools will need to ensure that parents: -
- Are registered to SIMS Online Services
- Have parental responsibility with priority one or two for the child
- Have no existing court orders associated with the child
4. Inviting users
The SIMS Parent Lite app provides schools with the functionality to target specific groups of contacts within SIMS and invite them to start using the app.
Our guidance in this respect is to build up both your list of invitees and your data collection sheet over time, as it may be too big a task to complete both of these first time, straight away – plus changes to your specific requirements over time will make it harder to predict what data you’ll need from your collection sheet in the future.
To get up and running, you could target an engaged parent audience that you have, such as a PTA, or focus on a parents’ evening for a particular year group and use that as a starting point for your roll-out.
Once you’ve issued invites to your parents, the app displays any invitees who have yet to accept and invites can easily be re-sent by selecting the account and clicking re-send.
5. Making use of the functionality
Thanks to the app’s integration with your existing SIMS database, schools can easily control which changes to the data that are requested by parents are actioned and which are not. Once parents have made their requested changes via the app, schools can choose to authorise them and commit the new information to the database or ignore them if need be.
If there are parents who have yet to update part of their data, schools have the ability send them gentle reminders – meaning that you could identify a target group with gaps in particular areas and send them a nudge to keep their details up to date.
Additionally, information about your school, such as contact information or term dates, can be viewed from within the app, making it easily accessible to parents.
The SIMS Parent Lite app provides schools with the perfect platform to establish your data collection procedures, before building for the future with a consistent strategy and whole-school approach.
In addition, by encouraging your parents to play an active role in managing their data, schools can quickly and easily demonstrate their efforts to comply with the new GDPR regulations.
